Turn one undifferentiated email list into segments worth sending to
Turn your single email list into targeted segments that people actually want to receive
How it works today.
You export your entire contact list, stare at thousands of rows in a spreadsheet, and try to guess who wants what. You create segments based on hunches like 'people who signed up this year' or 'customers vs prospects', then watch your open rates stay flat because the segments still feel random.
When you do send, you either blast everyone with the same message or spend hours manually sorting contacts into folders. Either way, people unsubscribe because they get irrelevant emails, and you send less often because each campaign feels like a gamble with your list health.
Before you start.
All of it has to be true, or step one fails in a way that is annoying to debug.
- Access to your email platform's export function and ability to create new segments
- A CSV export of your full contact list with all available fields (signup date, purchase history, engagement data, etc.)
- An AI agent with data analysis capabilities that can process CSV files
- Permission to create test segments in your email platform before full implementation
The steps.
Export your complete contact data with all available fields
Go to your email platform's export section and download your full contact list. Include every field available: signup source, last engagement date, purchase history, location, tags, and custom fields. Save this as a CSV file with a clear name like 'full-contact-export-[date]'.
Upload your contact data and request segment analysis
Upload the CSV to your AI agent and ask it to analyze patterns in your data. The agent will identify natural groupings based on behavior, demographics, and engagement patterns.
Paste thisAnalyze this contact list CSV and identify 5-8 distinct segments based on the available data. For each segment, provide: the defining characteristics, estimated size, and why someone in this segment would want different content than other segments. Focus on actionable differences in behavior, engagement, or attributes rather than arbitrary demographics.
Review proposed segments for business logic
Examine each suggested segment against what you know about your audience and business. Check that the segments make sense for your content strategy and that you can actually create different valuable content for each group. Reject segments that are too small (under 50 contacts) or too broad to be useful.
Generate specific contact lists for approved segments
For each segment you want to create, ask the agent to generate the exact list of contacts that belong in that segment. The agent should provide email addresses or contact IDs that match your platform's import format.
Paste thisFor the [segment name] segment you identified, create a list of all contacts from the original CSV that match these criteria. Provide the output as email addresses in a format I can copy and paste into my email platform's segment creation tool.
Create test segments with 10% of each group
Before creating full segments, take the first 10% of contacts from each generated list and create small test segments in your email platform. This lets you verify the import process works and the segments make sense when you see the actual contact names.
Validate segment quality by sampling contacts
Open each test segment and manually review 5-10 contacts to confirm they actually fit the segment description. Look for contacts you recognize and ask yourself if the segment assignment makes sense based on their actual behavior with your business.
Request content themes for each validated segment
For segments that pass your quality check, ask the agent to suggest specific content themes and messaging approaches that would resonate with each group.
Paste thisFor each of these validated segments: [list segment names], suggest 3-4 specific content themes and messaging approaches that would be most relevant to that group. Base suggestions on the behavioral and demographic patterns you identified, and explain why each theme would resonate with that specific segment.
Create full segments and document the criteria
Import the complete contact lists for your approved segments into your email platform. Create a simple document that records what defines each segment and what content themes work best for them. This becomes your reference for future campaigns and list management.
What you keep.
Automating the typing does not move the accountability. These stay with a person.
- Final approval of which segments to create and which contacts belong in each one
- Decision on whether segment definitions make business sense for your content strategy
- Review of all generated contact lists before importing them into your email platform
- Ongoing management of segment assignments as new contacts join your list
Once it works.
The first run is the demo. These are where the time actually comes back.
Run this analysis monthly on your newest contacts to automatically sort them into existing segments.
Set up the agent to flag contacts who change behavior patterns and might need to move between segments.
Apply the same segmentation logic to new lead magnets or signup sources as your list grows.
Use segment performance data to refine the criteria and create sub-segments within your best-performing groups.
Run this next.
